1. Identify each line item
Give each valve an item number or tag. State the valve family, nominal size, pressure class and quantity. Keep different sizes, materials or end connections on separate lines. Attach the project data sheet or drawing if one is available.
A pressure class is not the same as the normal operating pressure. Include both where they are specified, together with design pressure and temperature limits.
2. Describe the process conditions
- Medium and composition, including corrosive components or solids where relevant.
- Normal operating pressure and temperature, plus design limits.
- Maximum differential pressure when the valve opens or closes.
- Isolation or other specified duty, cycling frequency and installation orientation.
Mark unknown values as “to be confirmed”. Leaving an item open for review is more useful than inserting a guessed figure.
3. Specify construction and connections
Identify the body and trim materials, seat and seal requirements, full or reduced port, end connections and any face-to-face or space constraints. If a specification names a standard and edition, include the exact reference. A body material alone does not define the complete valve configuration.
4. Include operation and control
For manual operation, identify any gear or extension requirement. For pneumatic or electric operation, include the available supply, control signal, required fail position, cycling time and accessories. Ask for the valve and actuator combination to be confirmed together.
5. Agree inspection and delivery documents
State the required inspection and acceptance criteria, witnessing arrangements and document list. These may include material documents, test records, drawings and product conformity documents. Where a certificate is required, identify its intended scope so the applicable document can be checked.
Do not assume that a model name or catalogue reference confirms every requested approval. The quotation and technical agreement should identify what is included.
6. Make quotations comparable
Include the delivery destination and requested schedule. Ask each supplier to list the quoted configuration, exclusions, technical deviations and document scope. Review these alongside price and lead time; matching item descriptions make differences easier to see.
For an initial enquiry, send the known valve family, size, medium, pressure, temperature and quantity. NTK can then identify the remaining questions with you.
